How to use the Bulk Importer to add, update, invite, and remove users in Cloverleaf using a CSV file.

Using the Bulk Importer

The Bulk Importer makes it easy for Organization Admins to add, update, invite, and remove users in bulk using a CSV file.

Whether you're onboarding a new team, updating reporting structures, or removing users, this tool helps you manage everything at once.

Important: First Name, Last Name, and Email are required fields when uploading users.


Before You Start

  1. Go to the Bulk Import page on your Admin Settings page.

  2. Download the CSV Template (for new users) or CSV of Current Users (for updates).

  3. Make your changes.

  4. Upload the completed CSV file using the Bulk Importer.


Adding New Users

Follow these steps to add new users to your Cloverleaf organization.

Step 1: Download the Template

Download the CSV Template from the Bulk Import page.

Step 2: Fill in User Details

Add one row per user and complete the required fields:

  • First Name

  • Last Name

  • Email

You can also include optional fields like manager, team, or group.

Step 3: Upload the File

Upload your completed CSV file using the Bulk Importer.

Once uploaded, users will appear as Loaded (Not Invited) in your People Management page.


Understanding User Statuses

After uploading users, you’ll see three categories of statuses when managing users:

  • Active – The user has accepted their invitation.

  • Invited – The user has been sent an invitation but hasn’t accepted yet.

  • Loaded (Not Invited) – The user has been uploaded via CSV but has not been sent an invitation.

This allows you to review users before sending invites.


Sending Invites in Bulk

You can invite all uploaded users at once or select specific individuals.

Step 1: Go to the Organization Page

Select the building icon to open your Organization page.

Click the Loaded (Not Invited) tab.


Step 2: Select Users

  • Use the checkbox next to each name to select users individually.

  • Or select the top checkbox to choose all Loaded users.

  • Click Prepare Invites at the bottom of the page.

Step 3: Choose the Sender

You can send invites:

  • From yourself

  • From another admin

  • From your organization

Click Send to deliver the invitations.


Sending Invites from Groups

If your organization uses Groups, you can also send bulk invites directly from the Group-level page within Admin Settings.

Updating Existing Users in Bulk

You can also use the Bulk Importer to update user details.

Step 1: Download Current Users

Download the CSV of Current Users from the Bulk Import page.

Step 2: Edit User Information

Update any necessary fields in the CSV, such as:

  • Name

  • Manager

  • Group

  • Team

  • Email (including manager email updates)

Save the file once your changes are complete.

Step 3: Re-upload the File

Upload the updated CSV using the Bulk Importer.

Changes will automatically apply to existing users based on the updated data.

Removing Users in Bulk

To deactivate users:

Step 1: Download Current Users

Download the CSV of Current Users from the Bulk Import page.

Step 2: Change Status

In the CSV file:

  • Update the Status column to INACTIVE for any users you want to remove.

  • Save the file.

Step 3: Re-upload the File

Upload the updated CSV.

Any users marked as INACTIVE will be removed from your organization.


Creating Teams and Assigning Users

There are two ways teams are created:

Reporting Teams (Automatic)

Reporting teams are created automatically based on manager email data:

  • A team is generated for each manager and their direct reports.

Custom Teams (CSV-Based)

To create other types of teams (e.g., project-based or cross-functional teams):

  • Use the Team column in your CSV file.

  • Enter the team name for each user.

Currently, the Bulk Importer supports one team per user.


Tips for a Smooth Upload

  • Double-check required fields before uploading.

  • Ensure there are no duplicate email addresses.

  • Use the official CSV template to avoid formatting errors.

  • Review users in the Loaded (Not Invited) tab before sending invites.
