How do I add, remove, or update users from the Members tab?

Add, remove, or update individual and multiple users from the Members tab, including teams, admin roles, managers, job titles, login emails, and assessment reports.

Navigate to your Admin Dashboard

From your profile icon located in the top right, click it and select Admin Settings to get to your Admin Dashboard.

The Reporting page includes all existing admin reporting along with additional metrics on member adoption and organizational growth tied to Cloverleaf usage.


Reading the Members quick stats

Below the reporting dashboard, the Members section shows quick stats across your organization: active members, members with a manager assigned, members who have completed an assessment, members with an active Coaching Focus, and members with an active integration connected to their account.

These stats give you a snapshot before you dig into individual users on the tabs below.

How do I manage an individual user from the Members tab?

Click any user's name in the Members table to open a flyout menu on the right side of your screen. This gives you full control over that person's profile, teams, admin roles, manager, job title, login email, and reporting access, all from one place.

At the top of the flyout, click Cloverleaf Profile to view that person's full profile.

If the user is an Organization Admin, you'll see a Remove as Organization Admin button. Click it to revoke their org admin status. Once removed, this button changes to let you remove the user from the organization entirely. You must remove org admin status first before you can remove an org admin from the organization.

Use the Add To dropdown to add the user to any team they're not already on. Use the Make Admin of.. dropdown to grant them Team Admin or Org Admin status for any team or the organization itself.

Below that, assign or update the user's manager. If the user doesn't have one, check the Does Not Have a Manager box.

Next, update the user's job title, then add an associated email if you want to give them another way to log in. Adding an email triggers a verification message to that address. Once the user verifies it, they can log in with that email going forward.

The flyout also shows every team and admin role the user holds. Hover over any team or admin role to reveal an X icon you can use to make changes.

Common mistake: removing someone as a team admin, removing them from a team, and removing them from the organization are three different actions. Removing team admin status only revokes that person's admin permissions. They stay on the team and remain active in the organization. Removing someone from a team only removes them from that team. They stay active in the organization and may still belong to other teams. The only action that removes someone from Cloverleaf entirely is removing them from the organization.

If your organization uses the Groups feature, you'll also see options to remove a user from just the current group, or from the current group and all its sub-groups, instead of the full organization.

Managing your teammates in bulk

The Active tab lists members who have accepted their invite and are active in the platform. This does not require that a member has completed an assessment.

For each active member, you can see their manager, whether they have a Coaching Focus set, how many assessments they've completed (including which are required by your organization settings), any connected integrations (calendar, Slack, or Teams icons), the date they joined, their user type (org admin or member), and their Visibility Settings.

Check the box next to one or more users to bulk manage them. Bulk options include removing users, assigning users to teams, and assigning users as a team or org admin.

Removing Users

Upon clicking Remove from This Organization, you will be presented with removal options.

  1. Remove From This Group
    If your Cloverleaf Organization is utilizing the Groups feature, you will be presented with the option to remove the user from the current group they are in.

  2. Remove From This Group and All Sub-Groups
    If your Cloverleaf Organization is utilizing the Groups feature, you will be presented with the option to remove the user from the current group and any sub-groups created inside it that they are in.

  3. Delete User From Entire Organization
    Removes the user from the entire organization. Should the user be re-invited, any previous assessment data they had on Cloverleaf will be restored upon re-accepting the invite.

  4. Irrecoverably Delete User and Add to Account Opt-Out List

    This action permanently deletes the user's data and adds their email to the Account Opt-Out list. This option is used when you get contact from a teammate that they want their data deleted from Cloverleaf.

As with all removal and deletion actions on the platform, the above options will require a two-step confirmation for safety.


Managing Invited members

The Invited tab lists everyone with a pending invite who has not yet accepted.

From this tab, you can remove an invite individually. Check the box next to one or more users to bulk remove or bulk resend invites.


Managing Loaded members

The Loaded tab only appears if your organization uses the Bulk Importer tool. It lists users who have been loaded into the platform but whose invite has not yet been sent. Loaded users are parked here until you send their invite.

From this tab, you can remove a loaded user or send their invite individually. Check the box next to one or more users to bulk remove or bulk send invites


You'll know it worked when...

  • The Reporting page loads first when you enter Admin Settings.

  • The Members quick stats reflect accurate counts for your organization.

  • Bulk actions (remove, resend, send, assign to team, assign as admin) apply correctly to every user you've selected.
